Job Summary:
A Receptionist is responsible for promoting the professional image of Whitaker Construction Co. through a friendly, courteous manner and accurate information. The receptionist is the first image of the company most customers meet. Clerical work will be assigned as needed and expect a high level of accuracy in all work activities.

Responsibilities:
Roles and Responsibilities:

Receives all incoming calls quickly, courteously, and directs callers to the correct individual or department
Familiarizes self with the WCC Companies activities and staff responsibilities so that calls are answered knowledgeably
Greets visitors and directs them to the proper person or department, and monitors visitors to the office
Keeps reception area neat and organized at all times; maintains all equipment in the reception area
Responsible for the proper care and usage of computer, fax, printer and photocopiers, and other office equipment
When necessary, takes messages for staff who are away from their desk/office
Maintains confidentiality of sensitive information.
Data Entry.
Voicemail/telephone administrator, including maintenance of system, ordering new lines or disconnects; time change requirements; office greeting message during holidays and other special events; trains new employees through voice mail box setup; switches telephone extensions when needed
Trains designated switchboard relief operators on all aspect of reception duties
Outgoing mail (sorts, postage, envelopes and labels)
Responsible for courier service including preparation of courier slips, tracking, maintains accurate log of prepaid courier usage and submits log to accounting on a monthly basis
Responsible for faxes, receipt and distribution of incoming faxes, sends outgoing faxes, and resends faxes not delivered
Provides clerical support as required, including data entry
Responsible for the security of the reception area, including opening and locking front entrance, lights etc.
When required, provides direct administrative support for supervisor and applicable office staff
Recommends changes to information systems and office practices to enhance the efficiency and effectiveness of job duties
Assist DOT Specialist with maintaining driver files
Other duties as assigned
Qualifications:

Skills and Qualifications:

High school diploma/ GED
At least 6 months to 1 year of related work experience
Professional, Polished Telephone Etiquette
Ability to deal with the public and WCC employees in different situations in a pleasant, courteous, and helpful manner
Able to establish and maintain effective working relationships with others
Multi-task various assignments and meet deadlines under pressure
Organize and maintain accurate records
Working knowledge of the use of office equipment including telephone switchboard
Ability to work accurately and well under pressure
Excellent business English, grammar, spelling, and punctuation
Good mathematical skills
Effective and efficient with Microsoft Office Programs such as Outlook, Word, and Excel.
Willing to train and become knowledgeable with Whitaker Construction Co., Inc. membership software
Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment

Physical Requirements:

Able and willing to work long hours including day, night, weekend shifts as needed, and work outside of normal hours.
Able to walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and lift up to 50 pounds frequently.
Able to work in outside environments being subjected to weather changes, noise, vibrations, and job hazards.
Ability to do physical labor and other strenuous physical tasks.
